**MEMBERS ONLY**SIGN UP NOW***. is currently seeking an Event Planner for our client on the Northside of Indianapolis. This position will assist with accurate, cost-effective travel and internal meeting arrangements for all clients, within the organization. This position works extensively with the Events Division by providing administrative and program support. Individual must have a high level of interpersonal skills, exemplify high customer service standards and be able to interact positively with a variety of personalities. Key Accountabilities: 1. To manage relationships with electronic travel expense vendor and manage relationship with corporate travel reward programs 2. To provide consistently pleasant and efficient customer service, which includes cross-training and documenting event processes 3. To monitor compliance with travel and expense policies Essential Job Functions: ? Travel: Job requires travel and meeting support 5-10% of the time, including at least one extended period from 8-10 days, and at least one period from 3-5 days duration. Two to five weekend meetings both in Indianapolis and out of state are also required. ? Staff Authorizations Travel ? creates all staff authorizations and assists with travel arrangements. Staff should be utilizing concur to book own travel, however, this position will monitor flight choices, etc. for policy and budget compliance. ? Manages all Corporate Travel Rewards Programs; providing updates to supervisor on mileage accruals. Assists with booking award travel for Staff and Volunteers. ? Reviews for accuracy all invoices (including the Business Travel Account and Concur,) forwarding them to accounting for reimbursement. ? Serves as a backup to the Logistics Planner ? Travel in preparing travel authorizations, reviewing expense reports, troubleshooting travel etc. ? Stays abreast of all airline rules and regulations, tariffs (domestic) and other industry requirements and accurately applies this information when making travel arrangements. Ensures that volunteers and staff are made aware of this information when appropriate. ? Serves as the distinguished guest and speaker liaison at events. This includes: communicating speaking times, themes, handouts, arranging travel/housing/credentials, special event tickets and seating, and communicating arrangements to other team members and volunteers. ? Backup registrar for meetings and events; duties include registration material coordination and staffing on-site registration meetings and keeping up to date in event registration software. ? Assists with Ticketing and Registration. ? Performs other duties as required. Knowledge, Skills and Abilities: ? Excellent communication skills to establish and maintain effective relationships with staff, vendors, clients, and members, responding consistently in a professional, timely, and courteous manner. ? Proficiency in the use of personal computers and a variety of software applications in word processing, spreadsheets, database and presentation software (e.g. Microsoft products) in a networked environment. Must demonstrate a willingness to learn new programs and contribute to group knowledge as appropriate. ? Familiarity with Concur and Cvent ? Knowledge of on-line travel arrangements including travel planning in a non-profit environment.
Job Requirements
a. Two-year college or university degree or equivalent in field where skills are transferrable to the hospitality industry plus two years of relevant work experience; or b. Four-year college or university degree in field where skills are transferrable to the hospitality industry or equivalent degree plus one year of related work experience; or c. Any equivalent combination of education and related work experience.
