Position Summary: Primary responsibility for managing administrative tasks for Human Resources and Talent Acquisition\u00a0 teams, coordinating the planning of company-wide meetings and events, and supporting the CHRO in an\u00a0 administrative capacity. Key Job Responsibilities: HR and Talent Acquisition Administrative Support (~ 40% of duties ) \u2022 Create and maintain Company organizational charts, directories and leadership email\u00a0 distribution lists. \u2022 Manage anniversary and retirement recognition program by producing and disseminating\u00a0 certificates and awards. \u2022 Initiate salaried offer letter process by drafting all salaried offer letters, initiate\u00a0 pre-employment screening process, track returned letters, and start the onboarding process. \u2022 Process all invoices for HR and Talent Acquisition teams. \u2022 Triage employee questions and communications sent to Human Resources email account. \u2022 Leverage systems to produce and support HR metrics and other HR information (i.e., weekly\u00a0 reporting of Talent Acquisition metrics such as time to fill). Meeting and Event Planning (~ 40% of duties) \u2022 Manage the event planning and logistics for large Company meetings and events within time and\u00a0 budget limits. \u2022 Serve as liaison between hotel\/catering vendors and internal team to ensure all attendees\u2019\u00a0 needs are met. \u2022 Conduct market research, gather information and negotiate contracts and make recommendations\u00a0 for locations of Company meetings and events. \u2022 Organize facilities and manage all event details including, but not limited to; catering,\u00a0 entertainment, transportation, location, invitee list, special guests, equipment, and promotional\u00a0 material and gifts. \u2022 Troubleshoot emerging problems during events and\/or meetings. \u2022 Communicate effectively with internal and external partners to ensure smooth execution of\u00a0 events and\/or meetings. \u2022 Conduct pre- and post-event evaluations. Report on outcomes. Propose ideas to improve event\u00a0 services quality CHRO Support (~ 20% of duties) \u2022 Make travel arrangements, coordinate meeting schedules, and complete expense reports. Required Education & Experience: \u2022 Associate\u2019s degree or equivalent from 2-year college or technical school; or 10 years\u00a0 administration support experience; or equivalent combination of education and experience \u2022 2-3 years large event and meeting planning experience Required Knowledge, Skills, and Abilities: \u2022 Strong oral and written communication skills and ability to negotiate with external vendors \u2022 Ability to read, interpret, and understand documents such as operating instructions and\u00a0 procedures manuals \u2022 Proven ability to write correspondence including broader memos or group e-mails \u2022 Excellent time management skills and ability to manage multiple assignments independently and\u00a0 effectively \u2022 Proven ability to carry out instructions furnished in written, oral, or diagram form \u2022 Strong Microsoft Office skills Ability to travel to survey venues and on a quarterly basis for Company meetings.
