Real Estate Project Manager - Gallagher Careers
Position Summary:
As projects are initiated, the Planning Manager will be responsible for working with the branch offices to develop space plans. For the developed space plans, this position will also project manage the build out of the new space , work with the local branch leadership to coordinate the move process and decommission spaces at the end of the lease terms.

Space Planning
Interpret the space program documents and review with the internal stakeholders (branch managers) to understand local business requirements and set expectations for the space design.
Develop test fits on a minimum of two locations for every real estate project based on Gallagher real estate standards. Recommend opportunities for space reductions and consolidation of lease sites based on test fits.
Interface with the local offices to review and refine each of the test fits as needed until a final plan has been accepted by all parties.
Coordinate with GTS (IT) and Procurement to determine the placement and requirements for the data room, the copiers and printers, and the kitchen appliances.
Interface with the real estate brokers and real estate attorney to assure that the final test fit and plans are incorporated in the lease negotiations and lease documents.
Attend weekly real estate team meetings and individual construction planning calls for each project and report on the status of test fits.
Work with the furniture vendor to develop furniture plans based on the final space test fit. Evaluate, review and approve all furniture changes requested by branch leadership.
Coordinate with the furniture vendors placing the furniture orders and the timing of furniture deliveries.
Project Management
Upon completion of the contract or before, work with the landlord’s (LL) GC to obtain pricing for the build out. If the estimate is greater than the allowance provided, work to value engineer the space to reduce Gallagher’s potential costs.
Schedule a kick off call with the GC, GTS, Procurement, Furniture, Cabling and any other trades not represented by the GC.
Obtain a schedule for the build out and coordinate the timely installation of furniture, appliances, copiers, cabling, carpet, flooring and any other trades not managed by the GC based on the GC’s build out schedule.
Review and approve all invoices to be paid by Gallagher. Provide the invoices to accounting for capitalization.
Lead a weekly meeting to review all build outs with internal functional stakeholders or external stakeholders reporting to Gallagher including GTS, Procurement, Telecom, cabling, furniture, and flooring. Review the status of each existing and future project to assure that any concerns about timing are surfaced and sufficient resource is allocated to manage each project.
Upon installation of the furniture, request a punch list from the furniture vendor and the GC to assure that all work is completed timely.
Assure that all permitting, including building permits and occupancy permits have been properly obtained.
Coordinate with the local branch contact and the mover to assure that the move is properly planned.
Serve as the primary point of contact for the branch during the build out and move
Work with the furniture vendor, and the local branch manager to assure that all existing spaces are properly and timely decommissioned.
Along with the other members of the real estate team, participate in the office redesign, construction standard specifications and management for corporate identity.
